Administrative Assistant

The TMJ & Sleep Therapy Centre is searching for an upbeat and enthusiastic administrative assistant to join our team.

This individual works hand-in-hand with the other members of the team to provide a broad range of administrative support to the practice, as well as the need of our consulting clients. This person is crucial to the fluidity and flow of the office and provides the warm, welcoming personality that would make anyone feel at home. This key member of the team exudes TMJ & Sleep Therapy Centre’s Core Values and is dedicated to the long-term success of the treatment we provide our patients and the support we offer our clients.

We are seeking an outstanding individual to provide a broad range of administrative support. This is an exciting opportunity for an individual with excellent verbal and written communication skills. Organizational skills and self-motivation is a must. Dental or medical experience is a plus, but not mandatory. Those with a bright disposition and the willingness to help are encouraged to apply.

Our ideal candidate will possess the ability to:

  • read and understand applicable schedules and obligations, or availability of the practice and staff during scheduled hours
  • applied use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Practice Management software)
  • create trusting relationships with doctors, co-workers, and patients
  • maintain confidence with patients, in potential professional partnerships, with referring providers and vendors regarding abilities of doctor(s) and staff
  • work cooperatively with management, staff, and patients
  • prioritize, organize, and complete tasks in a timely and independent manner
  • collect data, establish facts, draw valid conclusions, and maintain confidentiality
  • communicate and express thoughts and ideas competently and maintain open, honest and transparent communication
  • quickly grasp relevant concepts regarding duties, responsibilities, and problem solving

As Administrative Assistant, your duties and responsibilities may include:

  • managing calendars and schedules with the ability to prioritize tasks and anticipate needs or expectations
  • greeting visitors, patients, guests, and vendors upon entering the practice and alerting the proper staff upon their arrival
  • performing necessary duties associated with checking patients in and out, recording notes for next visit, and scheduling
  • providing appointment reminders, documents, and records
  • managing the patient no show, cancellation, and recall lists to ensure all patient follow ups are scheduled as directed by the providers
  • documenting any provider or patient communications, calls, meetings, and touchpoints in the CRM and/or EHR System(s)
  • documenting supply inventory and ordering supplies according to a budget
  • assisting with answering telephones, routing calls, supplying information, taking messages, retrieving voicemails, forwarding information to intended recipients, returning calls in response to any messages requiring follow up, monitoring and responding to any email messages, text, or portal messages upon receipt per the practice procedures
  • monitoring, uploading, and distributing incoming correspondence, mail, faxes, packages deliveries, and patient records
  • managing outgoing faxed documents, refaxes, and failed fax attempts
  • managing patient and provider contact information, updating correspondence preferences, and ensuring any other modifications are updated and accurate within the EHR and/or CRM database
  • submitting orders, referral letters, patient records, and manages transmission of patient imaging and/or any other records requisitions
  • registering new patients, distributing necessary paperwork, communicating expectations of upcoming visits and receipt of the health information prior to the arrival
  • obtaining patient health questionnaires, updating health history information, medical records, insurance information and all other medical or personal information
  • communicating information related to payment expectations, claims submission, receiving payment, and recording payment information
  • assisting in the distribution of outgoing material such as, new patient gifts, gift cards, cards, condolence gifts, thank you’s, acknowledgements, get well wishes, sympathy and congratulations gifts/cards/statements, and the transfer of data for our referring partners.
  • assisting with Consulting Clients – such as, fielding client leads, enrollments or follow-up as applicable in the client sales process to ensure the practices enrolled in the sleep system are on track for launch calls and have regular contact with our team.
  • assisting Marketing in promoting various events and functions by distributing details and expectations to the appropriate audiences
  • assisting in distributing webinar reminders, meeting agendas, and education opportunities to clients prior to scheduled meetings/events and distributes post-event recordings or materials to attendees
  • managing event attendee data and distribution of necessary post-event content or scheduled follow-up
  • assisting in managing enrollment and attendance for education events, wellness workshops, health fairs, and other community presence.
  • preparing correspondence, memos, condolence letters, and any other document as requested by the doctor
  • operating computer, secure emails, fax, scanner, and courier delivery services to send information or documents
  • managing outgoing mail ensuring proper postage, return address, and address to information is complete and accurate with tracking as needed.
  • providing content for social media posts, blogs, quarterly packages, newsletters, external posts, and/or publications for provider or patient engagement opportunities
