In preparation for upcoming expansion into a newly constructed practice, TMJ & Sleep Therapy Centre is searching for an Administrative Assistant and a Patient Concierge to join our team. Both positions provide an exciting opportunity to be part of a growing practice that is patient-centered with state-of-the-art technology and on the cutting-edge of the industry.

As part of our Administrative team, the Administrative Assistant and Patient Concierge work hand-in-hand with the other members of the team to provide a broad range of administrative support to the practice. They are crucial to the fluidity and flow of the office and each provides the warm, welcoming personality that would make anyone feel at home. These key members of the team exude TMJ & Sleep Therapy Centre’s core values and are dedicated to the long-term success of the treatment we provide our patients and the support we offer our clients.

Administrative Assistant

Our ideal candidate will possess the ability to:

  • read and understand applicable schedules and obligations, or availability of the practice and staff during scheduled hours

As Administrative Assistant, your duties and responsibilities may include:

  • managing calendars and schedules
  • greeting visitors, patients, guests, and vendors
  • checking patients in and out, recording notes for next visit, scheduling, and other related duties
  • providing appointment reminders, documents, and records
  • managing the patient no-show, cancellation, and recall lists
  • documenting provider or patient communications, calls, meetings, and touchpoints in the CRM and/or EHR System(s)
  • documenting supply inventory and picking up/ordering supplies according to budget
  • answering phones, routing calls, supplying information, taking messages, retrieving voicemails, forwarding information to intended recipients, and returning calls
  • monitoring and responding to email messages, text messages, and/or portal messages
  • managing incoming correspondence, mail, faxes, packages deliveries, and patient records
  • managing outgoing correspondence, faxed documents, refaxes, and failed fax attempts
    • assisting marketing in assembling and sending new patient gifts, gift cards, cards, condolence gifts, thank you’s, acknowledgements, get well wishes, sympathy and congratulations gifts/cards/statements
    • preparing and sending correspondence as requested by the doctor
  • managing patient and provider contact information within the EHR and/or CRM database
  • submitting orders, referral letters, patient records, and managing transmission of patient imaging and/or any other records requisitions
  • registering new patients, distributing necessary paperwork, communicating expectations of upcoming visits, and receiving the health information prior to arrival
  • obtaining patient health questionnaires, updating health history information, medical records, insurance information and other medical or personal information
  • communicating information related to payment expectations, claims submission, receiving payment, and recording payment information
  • assisting in communication with Consulting Clients
    • such as: fielding client leads, enrollments or follow-up as applicable in the client sales process to ensure the practices enrolled in the sleep system are on track for launch calls and have regular contact with our team
  • assisting marketing with various events and functions, such as:
    • assisting in managing the Education Center calendar of events
    • sending pre/post event communication
  • executing social media strategy created by marketing partner and providing content as needed

  • understanding the schedule to anticipate no show potential
  • utilizing EHR to understand appointment types, length, and ideal schedule in order to:
    • schedule a patient
    • check patients in and out
    • add appointment notes
    • locate outgoing referrals/orders and associated letters
    • navigate through an encounter to locate and verify information
  • assisting treatment coordination and marketing in the assembly of outgoing material
    • such as: new patient gifts, gift cards, cards, condolence gifts, thank you’s, acknowledgements, get well wishes, sympathy and congratulations gifts/cards/statements
  • assisting marketing in promoting various events and functions with patients and guests in the office
  • communicating next visit with patient by providing appointment cards and explaining text reminder system
  • distributing incoming mail and any other documents as appropriate
  • monitoring outgoing faxes to ensure they have been transmitted successfully
  • documenting missed appointments
  • recording missed appointments on the recall list and communicating appointment updates to the admin team
  • confirming the status of new patient paperwork required for the first appointment and receiving upon arrival, if needed
  • distributing paperwork to the clinical team
  • communicating patients’ arrival to treatment coordination staff
  • deciphering account balances to determine if the patient should meet with a treatment coordinator based on the ledger
